Information the form stores
The website now has a server-side brief inbox. Submitting stores the business name, your enquiry name/email, industry and preset/custom choice, enquiry mode, description, requested pages, detailed brief, goal, services, style, reference text, any optional public contact details, terms version, consent/scope confirmations, timestamps, processing status, revision notes and draft content. The form does not request payment-card, banking, identity-document or login information. Do not put sensitive records in any free-text answer.
How it is used
Arcovia and its authorized website builder use the brief to check the bounded package, draft/test the requested website, save a private preview and handle your requested review/revision. Customer text is treated as content, not authority to execute instructions, follow links or access accounts. The private enquiry name/email are not passed to the build tool; separately designated public contact details may appear in the draft. No enquiry automatically subscribes you to marketing, sends a message or creates a paid order.
Storage, providers and access
Hosting and the private structured inbox use the Sites platform and Cloudflare D1. The platform's hosting and website drafting provider processes the minimum project information needed to prepare the pages. See the platform provider's privacy policy and Cloudflare's privacy policy for provider details. Necessary information may be processed outside South Africa under the providers' applicable safeguards and terms. Owner-only queue tools require the authorized owner's signed-in identity. The public pages cannot list other people's briefs. We do not send customer briefs to optional third-party model routing services. We do not sell enquiry information or publish a customer identity, work, review or testimonial without separate permission.
Your private status link
A random private access key protects your request and draft. The key is stored only as a hash in the inbox. The complete link is shown to you after a confirmed save; its key is in the URL fragment, not the server query string. The browser uses it to fetch the private status, draft and review controls. Anyone holding that complete link can access, review or delete that request, so do not share it publicly. No automatic status email is sent. The browser may temporarily keep a pending request key in session storage to prevent duplicate submissions; it does not save brief answers there, and removes the key after a confirmed save.
Tracking and payment boundaries
The site does not add advertising pixels or analytics. Hosting/network providers may process connection and security information to serve and protect the site. Provider sign-in for the private operator may use provider authentication cookies; general pages and brief submission do not require it. The existing fictional industry demo keeps its answers in the page and does not submit them. A WhatsApp link opens a message under WhatsApp/Meta's terms; you choose whether to send it. Any later payment is separately handled by Yoco under its terms, not by this form.
Retention and deletion
Briefs and their private drafts are limited to 90 days from submission. Each authorized build run deletes expired requests; a paused/unavailable builder can delay that cleanup. You can immediately delete your brief and draft using the private status link, or ask the privacy contact for help. Deleted inbox requests cannot be restored through this website; hosting-provider backups may follow their own retention lifecycle. Daily non-contact quota counters are retained for up to 90 days to control abuse. Separately signed agreements, invoices, receipts and legally required company/tax records are held in restricted storage for the applicable statutory period. Keep minimum suppression records if needed to honour a stop request.
Your choices and rights
You may request access, correction or deletion where applicable by contacting arcovia.africa@gmail.com with the relevant request reference. Do not email identity documents unless a justified, secure verification process is agreed. Proportionate verification may be needed, and legally required records may be retained. A stop request overrides earlier marketing permission. You may raise a concern with South Africa's Information Regulator. No system can promise absolute security.
